Pay Date for December Monthly Payroll

The December monthly pay date will be January 4, 2021 as a result of the bank holiday schedule. Payroll Services will be closed Wednesday, December 23, 2020 - Friday, January 1, 2021 during the university’s Winter Break. Normal business hours will resume on Monday, January 4, 2021.


Guidance for Workers Outside the U.S. Extended Through Spring 2021

The temporary guidance in place for workers who are outside the U.S. as a result of the COVID-19 pandemic has been extended through the Spring 2021 semester. Additional information can be found online at https://payroll.utexas.edu/temporary-guidelines-workers-outside-us.


Routing Changes to Relocation One-Time Payments  

A validation has been added in Workday that will prevent state accounts (14 &20 accounts) from being used as cost centers on Relocation and Relocation Gross-Up One-Time Payments (OTPs) since state funding is disallowed on these payments. As a result of this new validation, the relocation OTPs will no longer route through Payroll Services for review of state fund usage and final approval.


Payroll Services Preparing for Issuance of 2020 W-2  

Payroll Services is working to finalize 2020 W-2 information in preparation for the release of employee W-2 forms in January 2021. The forms will be made available to employees before the IRS deadline of January 31, 2021. Employees are encouraged to elect electronic-only delivery of their W-2 to reduce the number of paper W-2 forms mailed while the university is operating at a level of reduced density in response to the COVID-19 pandemic. Employees can opt in to electronic-only delivery from the pay application available in Workday, under tax documents.


Allocation Details Enhancements Now Available

Updates to the Allocation Details website are now available and include enhanced filtering options and updated drill-through detail views. Updated documentation on using the Allocation Details tool is also now available on the Allocation Details Training Resources webpage. Other enhancements include information for hourly workers, salary spread, earnings/allowances, and appointment history as far back as 1993. For a complete list of enhancements included in this update, please read Allocation Details Enhancements Now Available.


New REIMB Field Added to VP2 and VPE

On December 14, 2020, a new field called “REIMB? was added to VP2 and VPE payment documents in DEFINE. This required field is updatable by the creator of VP2 or VPE payment documents with a Y for yes or N for no to indicate whether or not the payment voucher is a reimbursement for out of pocket expenses to an employee or UT student. When the new field goes live in DEFINE, document creators looking for help will be able to refer to the askUS Knowledge Base and PF6 command level help on VP2 and VPE screens.
