Accounting and Financial Management Guidance and Updates

In an effort to follow recommended social distancing guidelines, Accounting and Financial Management is working remotely with limited on-site services. The Main Building will be locked until further notice so any interactions will be by appointment only. Below are a few key updates regarding AFM operations:

Accounting and Financial Management (Main 132):

  • AFM-Admin will continue to have a presence in the Main Building, Room 132. However, the office will be closed for normal operations and hours will be limited. 
  • Check payments typically handled via Campus Mail distribution or in-person check pickup will be mailed to limit physical interaction. Administrative Services personnel will contact departmental staff to request mailing addresses, as appropriate.
  • We will monitor voicemails left on our main phone number (512-471-3723), and you can expect a call back within 24 hours.

Bursar (Main 8):

  • Bursar’s Office will process deposits Monday, Wednesday and Friday, between 9 a.m. and 4 p.m.
  • Deposits that only have credit card transactions can be approved remotely.  Please work with Bursar’s Office staff to implement a process for those transactions to limit additional in person contact.

Student Accounts Receivable (Main 4) and Payroll Services (Main 134):

Student Accounts Receivable and Payroll staff are working remotely and are not offering in-person customer service at this time.

Announcement Regarding Vouchers Related to COVID-19

AFM is looking to track expenses and losses related to COVID-19 for insurance purposes. This includes communication expenses, reimbursements, waived fees, additional supplies, etc. We ask that submitted vouchers related to COVID-19 include “COVID” in each transaction line and not just the voucher description. If including in the transaction line is not possible, please add “COVID” to the document notes. Madison Leach, a Financial Officer in AFM, will be leading this project and if you have any questions please contact her at m.leach@austin.utexas.edu.


Temporary Changes to Mainframe Printing

In their March 15 Operations Update, Document Solutions communicated that they would be operating with only essential personnel and will have to reduce some services as a result. Mainframe printing will continue as usual, however, delivery of the printouts to campus locations will be limited.

  • Offices that use Document Solutions to deliver should contact Mail Services by calling 512-471-3670 for delivery instructions.
  • Offices that use their own courier to pick up printed reports from the School of Social Work building (SSW) may continue to do so Monday-Friday, 8 a.m. - 4:30 p.m. Please encourage couriers and employees who come to SSW to pick up printouts to follow current social distancing practices to protect themselves and others.

Please consider using this as an opportunity to change from hard copy print outs to Green Output. Not only does it save printing costs and paper as part of the University’s sustainability goals, but it also eliminates the need for employees to travel to SSW to pick up pinned reports. This is especially convenient for employees who are working remotely as part of UT’s social distancing objectives.
