B Visitor Checklist 

The B VISITOR CHECKLIST ITEMS are as follows: 

  1. A completed PIF
    • Use the information from the visitor's passport to complete the PIF
  2. A copy of the information (main) page of the visitor's passport
  3. A completed EICCC form with the result of "Independent Contractor" 
  4. B Visitor Invitation Letter
    • Departments must inform the visitor they will need to present this letter to border authorities to ensure entry to the U.S. and to assist them in obtaining the correct immigration status for their visit. 
    • The Qualification Statement & B Visitor Invitation Letter should be sent to the visitor at the same time.
  5. A signed B Visitor Qualification Statement
    • Visitors must sign the B Visitor Qualification Statement prior to execution of a contract for services or requests for travel authorizations, to ensure the potential visitor can legally receive an honoraria payment under a B visa.
  6. A fully executed Contract or PO authorization
  7. A copy of:
    • the B Visa page in the visitor's passport booklet, or
    • if traveling under the Visa Waiver Program, a copy of their ESTA Authorization, or
    • a copy of the NEXUS Authorization Card for qualifying Canadian and Mexican citizens
  8. A copy of the I-94 Immigration status
    • This must be obtained prior to the visitor's departure because it may not be available after the visitor returns to their home country

J Visitor Checklist

A J-1 visa holder that is not sponsored by The University of Texas at Austin must petition their sponsor to obtain approval for any work with UT Austin before the work can be accepted by the J-1 visa holder. The J-1 visa holder must provide a sponsor approval letter to the UT Austin department before work may be authorized.

If the individual is outside the U.S. and the planned work period at UT Austin is expected to last more than 9 days, the department must contact Texas Global for the expected lead time necessary to apply for and obtain a J-1 visa, based on the individual’s country of residence. Texas Global must initiate the J-1 visa process for the specific visitor.

The J VISITOR CHECKLIST ITEMS are as follows:

  1. A letter from the J-1 sponsor indicating their approval of this incidental activity ​​
    • This is only needed if the sponsor is not The University of Texas at Austin
  2. A completed PIF
  3. A copy of the information (main) page of the visitor's passport
  4. A copy of the U.S. J-1 visa page of the visitor's passport
  5. A completed EICCC form with the result of "Independent Contractor" 
  6. A fully executed Contract or PO authorization
  7. A copy of the DS-2019 Form
  8. A copy of the I-94 Immigration status 
    • This must be obtained prior to their departure because it may not be available after the visitor returns to their home country
  9. An invoice for services from the J-1 visitor OR email confirmation from the J-1 visitor that includes:
    • the type of service performed
    • the dates of service
    • the payment amount
    • confirmation that service is complete
